Compare supplier quotations by giving every bidder the same requirement and evaluating the complete commercial offer. A fair RFQ comparison separates price, specification, delivery, payment terms and exclusions so differences are visible before selection.
What matters
Write the request around the required specification, quantity and delivery location. Include the response deadline and ask suppliers to identify deviations rather than silently substituting products. Clarify whether packing, transport and relevant documents must be included.
Bring quotations into a common comparison format. Check currencies, units, minimum order quantities and delivery terms before comparing totals. Identify tooling costs, testing charges or other items that are payable separately. A low unit price can be misleading when the order quantity or included scope differs.
Ask targeted follow-up questions and record the answers against the quotation. Present the recommendation with its trade-offs: for example, a higher price may offer confirmed stock or a shorter replenishment time.
A common mistake
Comparing unit prices without checking whether suppliers quoted the same specification, quantity and delivery basis.
What should I do if a quotation excludes an important cost?
Ask for it explicitly or record a justified allowance. Do not hide an unresolved exclusion inside the comparison.
