Place a purchase order that clearly states what is being bought, when it is required and how acceptance will be confirmed. The supplier’s written acknowledgement should match the agreed specification and commercial terms before fulfilment begins.
What matters
Connect the order to the approved quotation and product specification. Include the item references, quantities, prices, currency, delivery terms and required destination. State which documents, packing standards or inspection arrangements form part of the supply.
Check the supplier’s acknowledgement for changes to dates, substitutions or exclusions. A quotation accepted by the buyer and an order acknowledged differently by the supplier can create conflicting expectations. Resolve those differences rather than assuming the original discussion still governs everything.
Track any amendments through a controlled order revision. Confirm approval before changing quantity, specification or delivery dates, and link receiving evidence to the purchase order when the goods arrive. This gives both teams a reliable reference for resolving discrepancies.
A common mistake
Leaving key requirements only in an email conversation instead of incorporating them into the agreed order.
Does sending a purchase order confirm the delivery date?
Not by itself. Obtain the supplier’s acknowledgement and resolve any qualifications affecting the promised date.
